Who we serve

LEAN STAFF.
BIG CALENDAR.

Member communications, annual meetings, congresses, and programs that all compete for the same few people. We bring the capacity and handle the execution.

The math never works

Associations run the calendar of an organization three times their size. An annual meeting, member communications, a magazine or newsletter, sponsor obligations, advocacy, and a board that meets quarterly and expects progress at each one.

The staff is usually small and frequently a person short. The work does not scale down to match.

Where we step in

Usually at the point where the calendar has outrun the staff, and often later than anyone would have liked.

  • Registration campaigns with weekly tracking and a plan that adjusts to pace
  • Event identity applied across signage, print, digital, and program materials
  • Sponsor recognition packages, produced and fulfilled to tier
  • Member communications: email, newsletters, and social
  • On-site support through setup, show days, and teardown
  • Website and digital footprint work, including consolidation

Three months and 700 registrations

One international scientific association faced an annual meeting and a world congress in the same week. With roughly three months to go, registration stood at 700 against a target above 2,000. They were four people short, including their communications role.

We supported the registration push with LinkedIn content, webinar promotion, newsletters, banners, and weekly registration reviews. Then we delivered two event identities, sponsor recognition materials, ceremony support, and staff on site.

Registration finished at 1,928, about 2.75 times where it started, with 1,698 delegates checking in and more than 60 countries represented. Across five months we produced 290 deliverables including 46 sponsor recognition boards, and provided nine days of on-site support across seven event days. The growth reflects the full event period rather than marketing alone, and it still came in under the original target.

Sponsors renew on the details

Sponsor recognition is the part of association marketing that quietly determines next year's revenue. Right tier, right placement, right size, spelled correctly, delivered on time.

It is tedious and it matters more than almost anything else on the list.

Who this fits

Commodity groups, trade associations, scientific societies, and member organizations in agriculture and adjacent industries. Organizations with an event that has outgrown the people running it.

It fits less well if you need full event logistics: venue contracts, catering, and room blocks. We handle the marketing, production, and on-site support. Bring a planner for the rest and we will work with them.

Services that fit

A few good
questions.

Can you start when the event is already close?

Yes, and that is often when we get the call. We will tell you honestly what is achievable in the time remaining rather than promising the original target.

Do you work with our board and committees?

Yes. Volunteer committees and board approval cycles are a normal part of these engagements, and we plan timelines around them rather than against them.

Can you handle a multi-year program?

Yes. Annual events benefit from continuity, and the second year is always more efficient than the first.

Event on
the horizon?

Tell us the date and the target. We will tell you what it takes.
